1. Programme operator and definitions
These terms govern the Hops Customer Referral Programme (the “Programme”), operated by HOPS HQ LIMITED (“Hops”, “we”, “us” or “our”), company number 12588164, whose registered office is Eposability, The Maylands Building, Maylands Avenue, Hemel Hempstead Industrial Estate, Hemel Hempstead, England, HP2 7TG.
A “Referral” is a complete introduction submitted through the Hops referral portal and accepted by Hops. A “Referred Business Group” means the prospect and the sites or businesses which Hops reasonably treats as belonging to the same commercial group. A “Qualifying Site” is a site that satisfies every condition in section 6. A “Participant” means the individual or authorised organisation representative enrolled in the Programme.
2. Eligibility
You must be at least 18, be an existing Hops customer or an authorised representative of one, have authority to act for any organisation you represent, hold an approved Programme membership and accept the current published terms. Membership is personal to the approved contact and may not be transferred.
3. Applying, enrolment and acceptance
You apply online using the email address associated with your Hops customer relationship. Hops may verify your identity, organisation and authority. An exact, unambiguous contact at a live Hops customer may be enrolled automatically after accepting these terms; all other applications remain subject to review. Enrolment does not create an entitlement to submit on behalf of another person or organisation.
Acceptance is recorded electronically with the accepted version, checksum, identity, date and relevant security metadata. A published replacement version must be accepted before another Referral can be submitted. Existing Referrals retain the terms version accepted for them.
4. Eligible and ineligible referrals
The prospect must be a genuine hospitality business introduction, and you must have the prospect contact’s permission to share their business contact details and for Hops to contact them. Existing Hops customers, active opportunities, previous engagement, duplicate introductions, ownership conflicts and other eligibility questions are assessed case by case; Hops does not promise a fixed lookback period. Hops normally recognises the first complete eligible Referral accepted in its records and retains reasonable discretion over duplicate, ownership and eligibility decisions.
Self-referrals, referrals of a business controlled by you, referrals by Hops employees, and referrals by a person directly involved in their organisation’s buying decision are excluded unless Hops approves an exception in writing. A site cannot receive both a Programme reward and another Hops commission, rebate or incentive unless agreed in writing before submission.
5. Submission and acceptance
A Referral is registered only when submitted through /my/referrals/new. An enquiry sent by email or another channel is not a registered or accepted Referral. Submission, estimated site count, acceptance for review and any value displayed in the portal do not guarantee acceptance, qualification or payment. Hops may decline a Referral where information is incomplete, inaccurate, unauthorised, duplicated or otherwise ineligible.
6. UK reward structure and qualifying sites
For a Referred Business Group operating in the United Kingdom, the provisional reward is £500 for the first Qualifying Site and £250 for each Qualifying Site from 2 to 10, capped at £2,750. Site 11 and later sites produce no additional reward.
A site qualifies only after Hops accepts the Referral, the prospect signs a qualifying contract for that site, implementation completes, the site goes live, and the first qualifying subscription invoice is paid in cleared funds. All conditions must occur within 12 months after Hops accepts the Referral. Missing, ambiguous or late evidence does not qualify automatically. Site attribution and business-group identity remain subject to Hops review.
7. Approval and voucher fulfilment
All values remain provisional until a Hops Reward Manager manually verifies eligibility and approves the final amount and recipient. The reward recipient is frozen when fulfilment is approved. An approved reward is fulfilled as an electronic voucher selected by Hops, normally arranged within 30 days after qualification. A voucher is not exchangeable for cash and remains subject to the issuer’s terms.
You are responsible for any tax, payroll, reporting, employer-permission or similar obligation arising from participation or receipt of a reward. Hops may require reasonable evidence before fulfilment and may cancel or correct a provisional reward where the eligibility conditions are not met.
8. International referrals
The Hops UK reward programme does not apply outside the United Kingdom. The prospect business’s operating country determines the route. Hops may retain an international enquiry for manual review. Where an active reseller is configured, the reseller will be named before sharing, your explicit consent is required and Hops must approve the handoff before any data is shared. Any local recommendation or reward arrangement is determined and administered solely by that reseller; Hops does not promise or administer an international reward.
9. Privacy and permission
You confirm that the information supplied is accurate, that you are authorised to provide it and that the prospect contact has permitted the introduction. Hops processes applicant, participant, prospect, authentication, terms, referral, CRM, reward and consent information to operate and protect the Programme. Further information is in the Hops Privacy Policy.
10. Conduct, conflicts and disqualification
You must not misrepresent Hops, promise pricing, delivery or reward eligibility, bind Hops, use unlawful marketing, offer or accept a bribe, submit misleading information or share personal data without authority. Fraud, abuse, unlawful conduct, security risk or an undisclosed conflict may result in investigation, suspension, disqualification, cancellation of provisional rewards and recovery of rewards obtained improperly.
11. Changes, suspension and termination
Hops may suspend, change or end the Programme prospectively. Published replacement terms apply to future submissions after acceptance; existing Referrals retain their accepted version. Hops may act immediately where fraud, abuse, illegality or security risk is suspected. Ending membership prevents new submissions but does not by itself change the recorded terms applying to an existing Referral.
12. Liability
Nothing excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. Subject to that, Hops is not liable for indirect or consequential loss, loss of profit, opportunity, goodwill or anticipated savings arising from the Programme. Hops is not responsible for a voucher issuer’s acts, systems or separate terms. Hops’ aggregate Programme liability to a Participant will not exceed the value of rewards finally approved for that Participant in the 12 months preceding the event giving rise to the claim.
13. General
If a provision is invalid, the remaining provisions continue. A delay in enforcing a right is not a waiver. You may not transfer your rights or membership without Hops’ written consent. These terms, the accepted Referral record and any written exception approved by Hops form the entire agreement about the Programme and do not create an agency, partnership, employment or joint venture.
14. Law, courts and contact
These terms and any non-contractual dispute are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction. Questions may be raised through the current contact channels published at hopshq.com.
